A workshop parts request should identify what is needed for a defined job on a particular tractor. A list of generic component names can be difficult to quote and easy to misinterpret. Ask the responsible technician to provide the technical references needed for the enquiry.
Connect the list to the job
Record the tractor’s full model and variant, the job reference and the relevant assembly. Keep observations, diagnosis and proposed work distinct. A part appearing on a preliminary list is not proof that replacement has been technically confirmed or authorised.
Include any known modification or previous replacement affecting identification. A standard model reference may not describe an altered assembly.
Use itemised parts lines
- Confirmed part number or a clearly labelled identification question.
- Description and assembly location.
- Required quantity and whether it is an individual item or kit.
- Supporting catalogue reference or safe photograph.
- Technician’s clarification and approval status where required.
Ask the supplier to explain any superseding reference or alternative offered. Do not treat a similar-looking component as an approved substitute without the appropriate confirmation.
Reconcile the supplied items
Compare received parts with the confirmed request before they are issued to the job. Keep the purchase reference and any corrected identification in the tractor’s service file. This makes the next enquiry more accurate.
For example, a request for an assembly should not be silently fulfilled with one of its components. Clarifying the supply unit avoids that mismatch.
